- Consider that you are writing to a person who has not committed any mistake, mistake was from your end so you need to write letter in friendly tone.
- A reality that you need to keep in your mind that lenders do not care about any person’s situation. They care for their money and nothing else.
Simply stating that you have gone through some financial problems is not enough.
- The basics of the letter are anything out of the ordinary that would be causing you financial distress.
- Explain why it is not possible to comply with the original terms of the agreement, and request modification of the obligatory terms until your financial situation improves.
- You also must convey that the hardship you went through is in the past and they you now can afford it.
- Your letter needs to be sent to the collection agency and convince the original creditor cut you some slack.
- You need to consider following approach in writing a hardship letter;
- Your hardship

- Words like “Dear Sir / Madam” should be used in formal letters.
- State the main line clearly in direct approach.
- Requirements of all Seven C’s of business communication should be considered when writing a Cancel Service Letter.• Conciseness and Clarity
Beauty of writing is hidden in conciseness. The letter should be stated in as few words as possible but it should communicate the whole message as well. Conciseness does not mean that in trying to write a short letter, you forget to include theme of the message. Your letter should be written in simple and easy language that can be understood by a normal person having no specialized background. Technical jargon should not be used in a business letter.• Completeness and Concreteness
Your letter should be complete enough to provide all necessary information to the recipient to take action. Make sure you have included the answers of all W’s in your letter i.e. Who, What, Why, Whom and How. All the facts and figures should be included in the letter. For example it is better to say that “oil prices are increased by 15% in last one year”, rather than saying “oil prices increased rapidly last year.”• Courteousness
In business communication, you cannot give away courteousness. So you need to be courteous and polite in your approach irrespective of the fact that your recipient is your customer or your service provider, your employer or your employee. But politeness odes not mean you accept every thing of the other person. You should be firm on your points.• Consideration and Correctness
Consideration means considering recipient of letter in a letter. You need to focus on “You” approach. It is better to write “you will be pleased to know that” rather than writing “we are pleased to inform you that”.
All the information provided in your letter should be correct. There is no margin of mistake in business. Mistake means you are loosing some monetary value. It also gives a bad impact if you say something wrong. Wrongly adding something in your letter has a negative impact on your goodwill as well.
- At the end mention your name along with signatures.
- Handwritten signature should be there in your letter.
- Proofread your letter at least once.
- Be sure you have spelled everything correctly.
- Check the punctuation use carefully.

Dear Sir/ Madam,
Due to the recent adjustment to the mortgage I currently have with your company, I am finding it very difficult to afford the new payment. I have a 3 year fixed rate which is now adjustable and is schedule to adjust again in Feb. 2008.
Considering my current income, there will be no way I can afford the increased payments come February. Hopefully there is way to renegotiate the terms of my current mortgage to avoid default and help stop foreclosure on my home.
Is it possible to have my current adjustable rate mortgage converted to a fixed rate? If this is not possible can the next rate change is postponed to a future date to allow me to hopefully refinance. Any other solutions you could provide would be greatly appreciated.
I have had no problem making my payments for over three years now and do not want that to change. My mortgage was originally written by another company and bought by Countrywide. The original mortgage terms are terrible but it was the only loan I was qualified for at the time. I was assured that refinancing would be no problem but that turned out not to be true due to the downturn of the housing industry.
The main problem is that my property is now worth about 5-10% less than what I paid for it which is preventing me from being able to refinance. I was researching on the internet and came across the Fannie Mae Announcement #06-18 (Oct. 4th 2006) regarding the servicing of Conventional Mortgage Modifications.
I believe this addresses the situation I currently find myself in along with many other homeowners. Attached are recent pay stubs showing my current income?
Thanks you for your time and consideration.
Yours sincerely, / faithfully

Dear Sir/ Madam,
Since last (month), I am experiencing financial difficulties due to (layoff, medical problem).
After having my current financial situation carefully analyzed, I have concluded that it is no longer possible to comply with the original terms of the agreement. I have no choice but ask you for your help on avoiding the foreclosure of my family’s home.
Due to the dropping of home prices that have affect the entire country in the last year, I currently owe more on my mortgage than my home is actually worth.
Please consider allowing me into your Short Sale Program so that we can lower the price and sell the house quickly before it goes into foreclosure. This will allow me to settle my financial obligation to you and have a chance to get back on my feet, without having to file for bankruptcy.
Please understand that financial hardships can occur and many times it‘s not a choice. I deeply appreciate your help in this matter. If you have any questions, or need anything further from me, you can contact me at (your phone # with area code.)
I am enclosing my (bank statements, late notices on your car, last year’s tax returns, last 6 months of Profit and Loss statement (if self employed), last 2 pay stubs for all working borrowers (including L&I and unemployment benefit.) Authorization to disclose personal information and anything else you can find that will show full proof of the hardship)
I, (your name), state that the information provided above is true and correct to the best of my knowledge.

Dear Sir/ Madam,
I am writing this letter to explain my unfortunate set of circumstances that have caused us to become delinquent on our mortgage. We have done everything in our power to make ends meet but unfortunately we have fallen short and would like you to consider working with us to modify our loan. Our number one goal is to keep our home and we would really appreciate the opportunity to do that.
The main reason that caused us to be late is (insert reason here and don’t be too lengthy and long winded) Soon after being late and our income not being nearly enough, we had fallen further and further behind. Now, it’s to the point where we cannot afford to pay what is owed to (lender). It is our full intention to pay what we owe. But at this time we have exhausted all of our income and resources so we are turning to you for help.
(The approximate date of hardship and we believe that our situation is Temporary or will be Permanent.)
Our situation has got better because (reason here) and we feel that a loan modification would benefit us both. We would appreciate if you can work with us to lower or delinquent amount owed and or payment so we can keep our home and also afford to make amends with your firm.
We truly hope that you will consider working with us and we are anxious to get this settled so we all can move on.
Yours sincerely, / faithfully

Dear Uncle Ira,
I’m glad you are home from the hospital and doing better.
An ulcer is not fun, but I know you are relieved that the doctors have ruled out anything more severe.
I suppose you will have to give up hot peppers and chili — not easy — but that’s a small price to pay for staying out of the doctor’s office.
Get well soon, so you can come and see the kids again.
Love,
Jeff

Sample Demand Letter
In our daily business life, businessmen have to write many letters. In the list of those letters there are numerous letters to debtors asking them for the payments. When you are writing to debtors, you need to consider many important points as they are the people who are your clients.
Some sample demand or collection letters are also given below that will help you in customizing a demand or collection letter according to your need. Important tips to write a demand or collection letter are following;
- Determine the tone of letter first of all.
- Consider that the recipient is your client so you need to keep as friendly tone as possible.
- Your tone will depend upon the progress of the case for which you are writing the letter.
In first stage, when you are sending your first or second letter, you need to just remind your recipient about the payment. As a gesture of goodwill, you can include some statements to show an old business relation with the recipient.
- If your debtor does not respond you after one or two letters, you need to write third letter with some different approach. Ask your recipient about the reason why he is not able to pay his dues. Dear Sir/ Madam,
How can we try to persuade you to pay your delinquent account?
We have tried many suggestions for extending the payment period, for making the monthly payments smaller, for getting help from lenders, and for at least discussing this matter with us. Now we have exhausted our own resources.
We have to seek help from outside our own company. We have consulted with our collection agency and they told us that we have several avenues available to us for collecting our money. We are very uncomfortable with the thought of going to court and, therefore, hope you resolve this outstanding balance today.
To avoid legal action, we must have your check for ____ (amount of money) on or before ____, 20__ (date).
Yours sincerely, / faithfully

____ (time period), just ____ (time period) is the time our legal department tells us we should extend your open account. After that time — ____ (date) — our collection agency will have to take action to collect the balance on your overdue account.
We have repeatedly written and phone your office asking for payment. We know that you understand, as a businessperson, that we can no longer be sympathetic. We do expect your cooperation.
We expect a payment from you on or before _____ (date).

Dear Sir/ Madam,
After months of futile attempts at collecting payment from ACME Inc., Firm Design is giving final notice before we commence legal proceedings.
You have until Friday of next week to make full payment. If payment is not made by noon central time (1 p.m. eastern time) on Friday, February 2, 2007, we will commence legal proceedings.
It is our legal counsel’s strong opinion that you have breached our contract and will be held liable by the Illinois civil courts for the full amount owed plus late fees, as outlined in the contract. The work was done to the satisfaction of Karen Client and Bob Manager, who had apparent authority over the project; both of them are willing to testify on our behalf. Moreover, you will likely be held liable for all attorney fees because we will assert in our filing that you have engaged in a pattern of fraudulent behavior, in which you enter contracts with vendors, accept delivery of services and then refuse to pay.
As is our right, we intend to make our legal proceedings known to key entities, including the media in Townville and the surrounding area. This media outreach will be limited to statements of fact. I am still discussing with my counsel whether we can also distribute this information to the Gold Partner organization and to financial institutions that may have a vested interest in assessing the impact of such information. As a PR firm, I assure you we are very good at spreading the word about such things but at no point will we engage in libelous behavior.
It is also our assertion that you do not have any rights to the work that we completed on your behalf until we receive full payment. This would include the ACME Inc. logo, the use of the AcmeMadeUpNameInc.com domain, lead information that came via the site, and all other work that was done by Firm Design during this engagement.
Given that we have no use for the AcmeMadeUpNameInc.com website, we assert the right to take the site down, use it for other purposes, or sell it to the highest bidder to recover the substantial service fees we lost on this project. We are under no obligation to give you any notice on this action – the domain name and the site content belong to us.
We are in touch with Big Time Printers and others who have been adversely affected by your predatory business behavior. There is an ongoing discussion amongst the parties about filing a petition for involuntary bankruptcy. I can also tell you that service on this suit will be wide-ranging because of the ambiguity as to your legal formation and who the member partners are – for example, we are unclear as to whether Arnold Gold is an equity-holding member of the group or not. We (and Big Time Printers in a separately filed lawsuit) intend to serve anyone who we believe may be an equity holder in the group or who may have benefited from the group’s actions by receiving promises of equity or property.
All invoices, including finance charge invoices, are attached. Payment is to be made in FULL, in the amount of $52.701.59, through wire transfer, to the following:

Dear Sir/ Madam,
My solid sales background, experience in Dodd and other federal sales, as well as my success with management and client service, make me an ideal candidate for the VP of sales position that you are currently advertising. Throughout my extensive career, I have proven my motivation, sales expertise, management, and operational skills. For example, during my time as Director, Army Major Programs, and Director, Dodd Sales, at FuturaFind, I have:
• Increased unit sales from $4 million annually to more than $30 million yearly.
• Boosted backlog from $3 million in 2001 to $40+ million in 2004.
• Overseen achievement of more than 50 percent of total company revenue out of three companies
Business units.
• Led growth of the Army team from $50K in backlog to $31+ million in backlog in three years, and recently closed a $15 million contract negotiation that accounted for 45 percent of total company orders in 2006.
Most of my professional experience has been in organizations in which I’ve successfully led teams to achieve a common purpose. The tools and techniques I have developed from this background apply directly to the skills that a VP of sales needs in your organization: proven leadership skills, strong organizational skills, critical team-building attributes, the ability to guide and direct the appropriate resources to maximize business capture and provide superior customer service, an outstanding track record of building business in the Dodd sector, and intimate familiarity with federal government rules and regulations.
My master’s degree and military background bolster my qualifications. I am recognized for my energy, agility, and quick thinking/action, as well as for focusing on maintaining an outstanding team emphasizing customer service.
I know I can be a key player on your team, and I would like the chance to prove that to you in an interview. Within a short time of your receiving this letter, I’ll contact you to arrange a meeting in which we can discuss how I can guide your company in attaining Dodd contracts, but please feel free to call me sooner at the number listed above or e-mail me. I look forward to meeting with you and bringing my talents to your firm. Thank you for your time and consideration.
Yours sincerely, / faithfully

Dear Sir/ Madam,
Perhaps I am the “multi-talented teacher” you seek in your “Multi-Talented Teacher” advertisement in today’s Atlanta Constitution. I’m a versatile teacher, ready to substitute, if necessary, as early as next week. I have the solid teaching experience you specify as well as the strong computer skills you desire.
I am presently affiliated with a highly regarded private elementary school. Mr. Craig, the headmaster, will certainly give you a good reference. The details of your advertisement suggest to me that the position will involve many of the same responsibilities that I am currently performing.
In addition to the planning, administration, and student-parent counseling duties I highlight in my resume, please note that I have a master’s degree as well as a teaching certificate from the state of Georgia.
Knowing how frantic you must be without a fifth grade teacher, I will call you in a few days. Or if you agree upon reviewing my letter and resume that I am the teacher you need, call me at the home number listed above or at 555-7327 during business hours.
Yours sincerely, / faithfully

Dear Sir/ Madam,
I have recently ordered a new pair of soccer cleats (item #6542951) from your website on June 21. I received the order on June 26. Unfortunately, when I opened it I saw that the cleats were used. The cleats had dirt all over it and there was a small tear in front of the part where the left toe would go. My order number is AF26168156.
To resolve the problem, I would like you to credit my account for the amount charged for my cleats, I have already went out and bought a new pair of cleats at my local sporting goods store so sending another would result in me having two pairs of the same cleats.
Than you for taking the time to read this letter. I have been a satisfied customer of your company for many years and this is the first time I have encountered a problem. If you need to contact me, you can reach me at (555) 555-5555.
Yours sincerely, / faithfully

Dear Sir/ Madam,
“On March 31, I purchased a 52-inch plasma television from your store. The salesperson, James Jones, assured me that professional installation was included in the sale price and I could expect installation within two days of delivery.
As of April 6, no installation had taken place. I contacted your store that day at 11:30 a.m. and spoke to Rose Jarvis. She stated the reason I had not heard from anyone was because it was my responsibility to call and arrange for an installation. She told me there was a $200 installation charge if personnel from your store installed the unit.
This was not what the salesperson, James Jones, told me upon purchase.
I contacted Mr. Jones to intercede on my behalf. His responded that I had misunderstood him and claimed he never said installation would be free and that only professional installation was available.
I purchased this unit with free installation confirmed. If I had known there was an installation charge, I would have purchased my television set from another retail outlet.
Please contact me at 999-999-9999 so that we may resolve this matter.”
